Gaviri PocketSearch Productivity Tip: Edit or Create Categories

This is another really useful feature! Gaviri PocketSearch dynamically categorizes all the content found on your hard drives and portable devices in easy to browse categories.

Let's say I have a certain file type I want to search for. In this example, let's say I want to find all my Word files. I know Word files end with the ".doc" file extension. There are a number of ways I can search for them. I can type "ext:doc" or "*.doc" in the search box or click on the "Office" category.

Because the Office category is associated with all types of office documents, Word, PowerPoint, Excel, Text, etc., PocketSearch will display all the files in that category. Which is great if I don't know what type of file I'm looking for but I know it's an Office document.

But if I wanted to display just ".doc" files, I can easily edit the category to display just the files with the ".doc" file extension or create a whole new category. If I have a proprietary file format, I would probably want to keep those files in a separate category (or maybe not) but if I wanted too I could create a new category for just that file type. Let's see how all this works.

To edit an existing category by adding or removing a file type, I go to "Tools" and select "Edit Categories".

You'll see the "Category Editor" dialog box appear.

Highlight the category you want to edit and click on the "Edit" button. For this example, we'll edit the "Office" category and remove the ".doc" file extension so later we can create a new category for just ".doc" file types. Click "OK" after you delete the ".doc" file type and "OK" in the Category Editor. If I was adding a file type, I would just type it in (*.file extension) and click "OK".

Now if you click on the Office category, you'll see there are no Word files with the ".doc" file extension in the search results.

Now let's create a new category associated with just ".doc" files. Follow the same steps to edit a category to open up the Category Editor dialog box. This time we'll click on the "Add New" button.

You'll see the "Add New Category" dialog box appear. Enter a Category Name. In this example, I'll call it "My Word Files" and associate it with the "*.doc" file extension. Don't forget the "asterisk"! We'll also select a unique icon, in this case we'll select the "bulb.png" icon to help distinguish it in the menu. You can also import custom icons. Click "OK" to apply the new rules and exit.

Once you click "Ok", this dialog box will appear letting you know that a new category has been created and that the icon will appear in your menu but only if you have that file type on any of your devices. This is really great! Because the categories are created dynamically, if you don't have a certain file type, the icon will not appear in your menu. Click "OK" to exit.

Now lets look at the toolbar to see if our icon is there and there it is! You might have to maximize the UI or click on the ">>" to see all the categories.

Now if I click on the new category, you'll see that only Word files with the ".doc" file extension are returned in the search results.

It's that simple! I can do that with any file type. It's wonderful if you have a proprietary file type you work with and you want to be able to easily find those files. 

I can just as quickly and easily delete categories. Open up the Category Editor, highlight the category you want to delete and click on the "Delete" button.

You'll be prompted to confirm the deletion and that's it!

Don't forget to associate the file types you're deleting with another category. Unless you don't care!

Gaviri PocketSearch Productivity Tip: Search Emails & Email Archives

If you're like me you have multiple email clients and email archives stored all over the place on the many devices you own. It can be a nightmare to find that one email you so desperately need to read again!

Here comes Gaviri PocketSearch to the rescue! Gaviri PocketSearch will allow you to easily search the most popular email clients and archives stored on your devices.

When you initially install PocketSearch, it will automatically detect and index the email clients you have installed. You can also add email clients by selecting "Add Mail Client" from the "Select Files to Index" dialog box.

If I was looking for a specific email, I would select the "Email" category, make sure the Email Clients and devices are selected in the Searchable Devices panel and enter my search query. For this example, let's look for the term "feedback". As you can see, not only does PocketSearch look in the subject field, but also in the body of the email for the search term!

Now if I really wanted to narrow down my search results to a specific email, I can use the "Advanced" search feature to restrict the search results even further. Here you see I have the original search query and I have selected the "Emails" category in Advanced search.

So if I type in "license" in the subject field my search results are further narrowed to just three emails! PocketSearch even highlights the different search queries in different colors. I can search by all the common fields used in an email. Subject, To, From, Attachment, etc. This is really handy!

Gaviri PocketSearch Productivity Tip: Playing & Managing My Video & Music Files

I have so many video and music files on all my devices. Sometimes it's impossible to browse through them all and enjoy them when I want too.

Gaviri PocketSearch makes it so easy for me to find and play all my music and video files. It even helps me manage valuable storage space by allowing me to delete duplicates and move them around from one device to another! We all know how much space these files can take up.

Gaviri PocketSearch has an embedded media player that lets me listen to music and play videos right from the UI without having to open another application.

To play a video file, lets first select the devices we want to search from the "Searchable Devices" panel on the left hand side. For this example, I'll select all my devices for the search so I can also delete duplicates. Let's search for Jimmy Hendrix. I'll type "jim" in the search box and click on the "Videos" category....wow! I see I have four of the same videos on multiple drives/devices.

Gaviri PocketSearch even searches zipped files! You can see I have a copy of the video in a archive file on my (D:) drive.

If I click on "Play" in the media player controls, the video starts to play right from within the archived file without having to extract it!

If I click on the "Music" category leaving "jim" as the search query, the search returns only one music file.

Let's go back to the "Video" category so I can delete some duplicate videos. I see I have four of the same videos. I would play them before I delete them to make sure they are duplicates! To delete duplicates, highlight the file to delete and right click to bring up the context menu. Select "delete" and you'll be prompted to confirm. I can just as easily rename, copy or move the file anywhere I want!

Click "Yes" and it's gone!

That just freed up some space on my USB drive and PocketSearch automatically updates the index and search results! PocketSearch makes it so easy and convenient....

Now going back to music files, if I select the "Music" category and type in "U2", you see I get a bunch of hits.

I can browse through all of them. Play, delete, copy or move the ones I want from the various devices. Isn't that cool!

Now you can easily enjoy your media files without the hassle of trying to find them first on the many devices you own! Plus you get to free up valuable space. Enjoy!

Gaviri PocketSearch Productivity Tip: Saved Searches

Saved searches are a time saving and fun feature! Saved searches allow you to run complex searches without having to enter the search criteria again. You can create albums of your favorite pictures or special events. Need to keep a group of documents handy? Saved searches will allow you to do that.

Let's save a search so you see how it's done. I'm a car nut and I go to the auto show every year. I know I have a bunch of pictures from the Auto Show in 2006. I want to easily look at those pictures whenever I want. So instead of looking through hundreds of pictures every time, I can create an album by saving that search and calling it "Auto Show 2006".

The first step is to find and rename the pictures. I know the naming convention of the camera I took the pictures with is "DSC" so if I do a search for "DSC" in the "Pictures" category, I can browse through the search results to find the Auto Show pictures. Once I find them, I'll select the ones I want to include in my saved search photo album and do a batch rename. You can do a batch rename (Gaviri PocketSearch Productivity Tip: Rename Many Pictures at Once) of the pictures very easily. In this case I'll call them all "Auto Show 2006". Type in the name and click "Ok." Wait a couple of seconds for the renaming to take effect and for the indexer to index the new names. It can take a while if you selected a lot of pictures so be patient.

Once the renaming is done and the indexer has indexed the new names, do a search for "Auto Show 2006" in the "Pictures" category. You can see the search results are limited to just those pictures now.

The next step is to save the search and give it a name. If you click on the small floppy disk icon next to the search box, another dialog box will appear prompting you to give your saved search a name. You'll notice that it is already giving you a suggestion based on the search you did. You may leave that or call it something else. In this case, I'll leave it as is and click "Ok".

Now you'll see the saved search appear under the Saved Searches heading on the left hand side.

Now lets clear the search box and click on another category so we can see the saved search work. Once the search box is clear and you have selected another category, highlight the saved search "Auto Show 2006" and right click to bring up the context menu box.

Click on "Run Search" and whola! You just created an album named "Auto Show 2006" with your (or at least my) favorite pictures! You can also double click on the saved search to run it.

Wasn't that easy? I can just as easily create a file cabinet that contains documents I selected to be included in a specific search. You can do that with any file type. I hope you enjoyed this tip. Let me know if you have any questions.

Gaviri PocketSearch Productivity Tip: Use Gaviri PocketSearch To Find and Manage Pictures On Your Digital Camera

Yes sir, you may install and run Gaviri PocketSearch entirely on your digital camera. How do I do that? If your digital camera is attached to your computer during the installation of Gaviri PocketSearch, you will see the camera listed in the list of devices, leave it checked. Gaviri PocketSearch will be installed on the SD card or CompactFlash card on the camera. If you have already installed Gaviri PocketSearch to the desktop, laptop or network drive, connect the digital camera to the computer via USB or FireWire ports.
start Gaviri PocketSearch and click on File|Install To Other Devices, Gaviri PocketSearch will detect the camera for you, click OK to install. That's it.

Why would I want to install Gaviri PocketSearch on my digital camera? Because Gaviri PocketSearch allows you to easily do many things you couldn't do today. For example, you can easily find any file from your camera by searching because your search engine is right on the camera, not at home. You could quickly rename those thousands of non-descriptive names your camera gives to your files (see Productivity Tip: Rename Many Pictures at Once). You could easily rotate, resize and print your pictures directly from your digital camera. Finally, you can easily integrate the data on your camera to data on your desktop, flash drive, network, etc. The picture below shows Gaviri PocketSearch running off my Sony digital camera.

How do you use Gaviri PocketSearch on a digital camera? Connect it to any computer, Windows will find the new device and give you a list of actions you can take, one of which is "Run Gaviri PocketSearch." Select "Run Gaviri PocketSearch" from the list. If you do not see the list, open the drive letter assigned to the digital camera. You will see a "PocketSearch" folder. Open the folder and click on Gaviri PocketSearch to start the application. Gaviri PocketSearch will start from the digital camera and you will see a list of all your pictures. You may batch rename, resize, move, delete, copy or easily perform many other operations directly and quickly.

Gaviri PocketSearch uses a Sandbox searching technique -- all the searching, copying, moving, happens on each device. Nothing is moved from one device to another or to the PC. Because of Sandbox searching technique you can be assured that you will not leave any trace of your files behind on the PC -- even if the PC is yours.

Unfortunately, not all digital cameras show themselves as USB storage devices. You will not be able to install Gaviri PocketSearch to your digital camera if it does not show up as a USB or FireWire storage device under the operating system you are using.

Gaviri PocketSearch Productivity Tip: Search Network Drives

Gaviri PocketSearch makes indexing and searching home or corporate network drives painless. To search network drives in addition to any other portable and non-portable devices, you need Gaviri PocketSearch Network Edition, not the Professional Edition. The network edition has everything the professional edition has, plus network indexing and searching capabilities.

How it works: Gaviri PocketSearch Network Edition automatically detects and lists all the sources of information available to you during setup. If you are connected to a network, Gaviri PocketSearch will detect the network drives for you. You may uncheck one or all network drives if you do not want to index them or select the folders or files you want to index. After installation, Gaviri PocketSearch will list the network drives for you, along with all your other devices, in the "Searchable Devices" pane. The image below shows a listing of all the devices I have access to but I have highlighted just the network drives (drives Y and Z).

Gaviri PocketSearch Productivity Tip: Clean up your PC with Gaviri PocketSearch

File type search in combination with file operations can help you organize your files. 

A search for a specific file type, say "ext:obj", will list all the documents with filenames ending in .obj. You may then use the search results list to select any files you want and perform different operations on them, Copy, Move, Delete, Rename.

For example, if you are a programmer, you sure have tons of object/project files from all those projects or tests. Gaviri PocketSearch can help you clean up hundreds of megabytes of space just in a few seconds

To remove all the object (*.obj), and project database (*.pdb) files from your old projects you may run the search "ext:obj OR ext:pdb" from basic search, or use Advanced Search. 

When you have all the files listed, simply right-click on the results list, and "select all", then right click again, and select "Delete." All selected files will be deleted.

You may use this technique on any file type.

Gaviri PocketSearch Productivity Tip: Rename Many Pictures at Once

Gaviri PocketSearch has many useful features that are not found in other search engines. One of these is the ability to rename many files at once (batch rename files). It is very easy to do this from Gaviri PocketSearch, here are the steps:

1. Search for the files
2. Select the files you want to rename
3. Rename them

We will go through these steps in a minute. Batch Rename is useful for easily renaming all those non-descriptive "image0012.jpg" naming conventions used by digital cameras. To rename all the non-descriptive names to something you can remember, like "Summer vacation 2007, do the following:

do a search like "image0", or "DSC0", or "img001" or whatever naming convention your digital camera uses. My digital camera uses "DSC0..." so I am using "DSC0" as my search term:

Next, Right-Click any file in the result set and select "Select All" if you want to rename all the pictures. Otherwise, CTRL-Click to select non-contigous files (press and hold down the Control key and click on the selected files in the result set).

After selecting the files you want to rename, right-click in the result set and select Rename

Enter the descriptive name you would like to rename the pictures to, example: "Summer vacation to florida 2007" and click OK.

Gaviri PocketSearch will batch rename all the files to the new name and append 1 - x to each file to make the filename unique. Now search for the new name "summer vacation to florida" and you will see your renamed files!

That's all there is to it!

I use this feature all the time to rename the pictures I take with my digital camera. If you have Gaviri PocketSearch installed on the SD card or CompactFlash, you may connect the camera to any computer, start Gaviri PocketSearch from the digital camera and perform the batch rename directly from the digital camera.
